We host the content of our website with the following providers: Vercel, Supabase, Sentry

3. Analysis Tools and System Stability

Error Analysis with Sentry (EU Instance)

We use the service "Sentry" provided by Functional Software, Inc. (45 Fremont Street, 8th Floor, San Francisco, CA 94105, USA) to improve the technical stability of our service and to detect code errors.

Data Processing in the EU

We have configured our Sentry instance to store and process data exclusively within the European Union (Server Location: Frankfurt, Germany).

Data Collected

Sentry serves solely to record and analyze technical errors and system crashes. If an error occurs during your use of the website, the following data may be transmitted:

  • Device information (OS, browser version)
  • Time of the error
  • Stack trace (error log) of the crash
  • IP address (anonymized)

Application Logs & Breadcrumbs: We collect a history of actions and system logs leading up to the error (e.g., "Button clicked", "Network request failed") to understand the context of the crash.

We have configured Sentry to mask IP addresses immediately upon receipt. Sentry does not use this data for advertising purposes.

Legal Basis

The processing of this data is based on Art. 6 (1) lit. f GDPR. We have a legitimate interest in ensuring the stability and error-free operation of our website.

International Data Transfer

Although the data is hosted in the EU, the provider (Functional Software, Inc.) is a US-based company. To ensure legal compliance for any potential access (e.g., for support or maintenance), the provider is certified under the EU-US Data Privacy Framework (DPF) and we have concluded a Data Processing Agreement (DPA) incorporating the EU Standard Contractual Clauses (SCCs).

Participation in the Contest

If you participate in our photography contest, we collect the following data from you:

  • Full NameTo identify the participant for eligibility checks, winner selection, and official communication.
  • Artist NameTo display the participant’s preferred public name alongside submitted photographs.
  • CountryTo verify eligibility based on contest rules and regional legal requirements.
  • Email AddressTo communicate important contest updates, confirmations, and winner notifications.
  • Instagram handleTo credit participants and optionally promote their work if selected or featured.
  • X/Twitter handleTo credit participants and optionally promote their work if selected or featured.
  • Submitted photographsTo evaluate entries as part of the photo contest.

Purpose and Legal Basis

The processing of this data is necessary to conduct the contest, notify winners, and prevent fraud. The legal basis for processing is Art. 6 (1) lit. b GDPR (Performance of a contract/participation agreement).

Publication of Data

As part of the contest, we may publish the submitted photos along with the instagram handles of the participants on our website and social media channels. This is part of the contest agreement (Terms & Conditions). The legal basis is Art. 6 (1) lit. b GDPR.

7. Transfer of Data to Third Parties (Sponsors)

Shipping of Prizes

If you win a prize, it may be necessary to pass your contact details (Name, Shipping Address, Email) to the respective sponsor of the prize so that they can ship the item directly to you.

We transfer your data to the sponsor only if you are selected as a winner. The legal basis for this transfer is Art. 6 (1) lit. b GDPR (Performance of a contract – Fulfillment of prize distribution).

8. Retention Period

We process and store your personal data only for the period necessary to achieve the purpose of storage (conducting the contest and judging) or as required by law (e.g., tax retention periods).

  • Participants: Data of non-winners will be deleted [e.g., 3 months] after the contest ends, unless you have consented to further storage.
  • Winners: Data of winners may be stored longer to comply with tax laws regarding prizes (usually 10 years for tax records).
